At PointLocal LLC (“PointLocal,” “we,” “our,” or “us”), we build software to help local governments serve their communities. Trust is the foundation of that relationship. To make our data practices as transparent as possible, we’ve included a plain-English summary at the top of each section.

This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website or use our products and services. Our services are intended solely for organizations and users located in the United States. Please note that your use of our platform is also governed by our Terms of Service.

1. Information We Collect

The Plain English Version: We collect the basic info you give us to set up your account (like your email and town name), the automated technical data your browser sends when you visit our site, and the data your residents submit through your customized portals.

We may collect the following types of information:

  • Information You Provide: Contact information (such as name, email address, organization name, billing details), and information submitted through forms, onboarding, or support inquiries.
  • Customer & Resident Data: Information submitted by your staff (Customer Data) or your municipality’s residents (Resident Data) through PointLocal platforms, such as digital permit forms or the Unified Inquiries Hub. The municipality remains the Data Controller for all Resident Data.
  • Automatically Collected Information: IP addresses, browser types, device information, and usage data related to how our website and services are accessed and navigated.

2. How We Use Information

The Plain English Version: We use your data to make the software work, answer your support tickets, and keep the system secure. We do NOT sell your data or your residents’ data to data brokers or advertisers. Ever.

We use collected information to:

  • Provide, operate, and maintain our products and services.
  • Respond to inquiries and support requests.
  • Improve functionality, performance, and usability.
  • Communicate product updates and service-related notices.
  • Maintain enterprise-grade security and prevent misuse.

Data Sales: PointLocal does not sell, rent, or trade personal data to third parties for commercial or advertising purposes.

3. Artificial Intelligence & Your Data

The Plain English Version: We use AI to help you answer resident questions faster. We configure our systems and select AI partners specifically to ensure your private data is not used to train public AI models.

Some of our products (such as LocalAgents) utilize Artificial Intelligence (AI) and Large Language Models (LLMs) to process inquiries and generate responses.

  • Public Data: We train your specific AI assistants on publicly available municipal data (e.g., zoning codes, public meeting minutes, website content) to support product functionality.
  • Private Data Protection: PointLocal does not knowingly use or share private, personally identifiable information (PII) submitted through our secure portals to train foundational, public AI models. We utilize enterprise-grade AI APIs configured to opt-out of public model training, and we make commercially reasonable efforts to ensure your private data remains isolated to your municipality’s workspace.

4. Data Sharing and Disclosure

The Plain English Version: We only share data with the secure cloud providers that run our software (like AWS), or if we are legally forced to by a court order.

We may share information:

  • With trusted, secure service providers and sub-processors who assist in operating our services (e.g., cloud hosting providers, payment processors).
  • To comply with legal obligations, court orders, or lawful government requests.
  • To protect the rights, safety, or property of PointLocal, our municipalities, or the public.

5. Data Security & Retention

The Plain English Version: We use high-level security to protect your data. We only keep it as long as you are a customer or as long as the law requires.

  • Security: We implement reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, disclosure, or misuse. However, no digital system can be guaranteed to be 100% secure.
  • Retention: We retain information only as long as necessary to fulfill the purposes outlined in this policy, to provide you with uninterrupted service, or as required by law or contractual obligation. If you cancel your subscription, you maintain the right to export your data before it is securely deleted from our active systems.

6. Children’s Privacy

Our services are designed for municipal governments and adult residents. They are not intended for individuals under the age of 13. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Updates will be posted on this page with a revised effective date.
